Team Communication
We strive to effectively communicate with the many families of our swim team and have several methods for doing so. We send Updates via e-mail, using the e-mail addresses provided at the time of registration. We have a very comprehensive website with additional information so be sure to add www.swimpr.org into your favorites and check this often. Each family has a folder in the Family File Folders. Important information will be placed in these as well as your swimmer’s ribbons, so it is your responsibility to check your Family File Folder at practice. Finally, the peg board located at the pool has the clipboards for signing up for swim meets and the Volunteer Job Chart.
Team Communication for Pool Closings and Cancelled Practice/Meets due to Weather
Unfortunately, unexpected situations, such as pool closings, may arise and these situations are out of our control. Due to the short notice, it is impossible to contact each family. We will send out an email of changes in the practice schedule in such situations. Again, we realize this inconveniences families, especially if you do not regularly check your email. We will not formally establish a phone tree as this is difficult to arrange in the summer when so many families are on vacation. However, we encourage you to meet other families and get to know each other while at practice and meets and create a buddy system. Then, if such situations when something unexpected occurs, call each other to pass on the news.
With summer swim, comes the summer monsoon season. Since there is limited amount of time in the pool, we make every effort to NOT cancel practice. More times than not, practice will just be canceled for those groups practicing during the time the pool is closed when the Town of Oro Valley deems it unsafe to be in the pool area. Therefore, due to the unpredictability of the weather, we are not able to send out an email alerting you to whether practice has been canceled or not. Due to the limited number of meets, again, we make every effort to not cancel the meet. Per SAAA rules and regulations, a meet may be delayed up to several. We realize this can be an inconvenience, but please be understanding—so much work has already been done to prepare for the meet that we make every effort to still hold the meet.
